GOVERNING BOARD Minutes
August 27, 2013

Meeting called to order at 8:10 pm EDT. Bill Safreed, Karen Baum, Judy Ross, Harvey Pool, Kathi McKinney, Tom Rothering, Debbie Shellabarger, Tami Lash, Niki Kuklenski and Debi Garvin were in attendance. Karen Dean was unable to attend.

Minutes from the May 21, 2013, meeting - Minutes were distributed and approved via e-mail and have been posted to the website.

Gathering report:  Mary Jo Miller joined the call

Mary Jo briefly reviewed the financials and comparisons to last year's show (previously distributed). The number of sponsors was down this year a little but halter entries were up over last year (313 vs. 278 in 2012). The various promotions raised almost $3,000 to benefit the ILR. The LFA was good to work with but we haven't heard officially if they will rejoin the Gathering next year.

ILR BOD Report - Karen Baum

If any committee has group e-mail changes they need to notify Dar to get them changed.

When submitting committee minutes to be posted send to Dar and mark in the subject line that they are final and ready for posting.

Conference calls will be initiated by your ILR Board member. We are unable to have two calls at the same time. Dar will continue to be the contact for committee calls.

Pot of Gold - Harvey Pool

A Pot of Gold Committee has been set up as an ILR Committee, Mark Smith has agreed to chair it. Representatives from around the country are participating. Looking to initiate POG classes in halter and performance. They anticipate being ready to go in a few months. Points are accumulated from Gathering to Gathering, the highest five show point totals are used to equalized POG for areas that may not have as many shows as others. Llamas sold since January of 2013 are eligible for this year.

 Scholarship Sweepstakes - Debi Garvin

At 2014 Gathering will offer a 10 obstacle jackpot for folks age 19 to 25. It will be judged by two volunteer judges and have a preliminary and a final if enough entries. There will be at least $1,000 in prize money with a $15 entry fee planned. Already have sponsors to guarantee the $1,000. An e-bulletin on just this will be done.

All American Llama - The llama at the 2014 Gathering that has the highest point total in Halter, Performance and Walking Fleece. Jan's idea to reward the best all around llama at the show.

Clinics - Possibility of one in Wisconsin in Fall 2014 at the Jensen's.

Gathering Judges selection - the idea of soliciting names of judges for the 2014 Gathering from the Committees was to get more member participation in the process. The new Chairperson(s) would make the contact with the judges. There was some concern and confusion about the process, the committee chairs would like some written guidelines in the future if this continues. It was resolved that each chair would take the request back to their committees and every committee that chose to would submit three names for each of halter, performance and fleece. Harvey will send criteria out next week.

3. Judges Committee - reported by Tami:

The committee recommendation for judges in good standing was presented.

A Judge that has completed/attended necessary ILR-SD Seminar/Clinics and,
A  Judge that has no outstanding * complaints against them within 2 yr. time frame and,
A Judge that has some current Judging activity within the ILR-SD and

A  Judge who has completed the current necessary requirements within that year's Guidelines.
 

*outstanding to be defined as complaints where both Judge and complainants were involved in communication/actions from the Judge's Committee.

The committee is working on three other items at this time.

4. Halter Committee - report by Nikki:

Guideline changes proposed by the committee were unanimously approved.

5. Performance Committee - report by Tom:

Proposed by the committee: in the awarding of Performance Champions, it is recommended by the committee to separate Driving from other Performance classes. Unanimously approved.

The committee is taking opinions on novice performance. Send any input to Tom.

6. Youth Committee - report by Debbie:

The following changes to the Guidelines were proposed by the committee and were unanimously approved.

  • Page 93, Section F. Approved Youth Point Classes: Youth Judging should be added to this list ("e) Youth Judging").

  • Page 95, Section H. Purpose:  Add the Italicized text to this section ("To provide the opportunity for ILR-SD members to experience the show ring from the Judge's perspective and encourage members to pursue judge's training. This may be held in conjunction with an ILR-SD sanctioned show or in conjunction with a different event, provided that an ILR-SD judge is used and is qualified to judge the classes in the competition, and that ILR-SD approved Youth Judging Forms and ILR-SD approved Tests are used.").

  • Pages 95-96, Section H1.  Participants:  Change this to read as follows: "The ILR-SD Youth Judging Competition is a separate class."

  • Page 96, Section H3. Classes to be Judged: Delete "Shorn Fleece" from this list. Also, delete the following sentence, "When all four are offered, . . .".  And, delete the last sentence, "Fleeces to be judged . . ."

  • Page 96, Section H4. Process: Add the Italicized text to this section ("Juniors would complete a written ILR-SD approved Youth Judging test.").  And, delete the phrase "(except for shorn fleece)".

7. Fleece Committee - reported by Judy:

The Committee would like to see a separate link on the website for the fleece information, classes, etc. for next years Gathering to make it easier to find and use.

Fleece Champions - Dar is working on fleece champion certificates. We have 14 champions now. Some token gifts for the champions is being discussed (reminder to the Governing Board that the halter and performance trophies were donated.)

The Fleece and Halter Committees continue to work on composite champion requirements.

The annualized weight is still an issue and the Committee continues work on addressing it.

Attachment for Judge's Committee proposal: 

The Judge's Committee has proposed these needed changes for our 2014 Guidelines. It has come to our attention by giving a 10% determination to fleece, that some Judges then wonder what percentage would be needed for head, ears, front legs, rear legs, topline, etc. This may be a reason some judges do an 'overload' when it comes to the consideration of fleece. We still want fleece to be a consideration, and in saying that the JC feels the following verbiage will better suit this need.

a) Halter classes will be judged based on the conformation of the animals in the class as viewed from the front, rear and the side while in motion and at rest. The overall conformation & balance will be considered as well as evaluation of the smoothness of gait while in motion. Fleece consideration is 10% of the judge's evaluation. Fleece characteristics to be evaluated would include luster, handle and fineness

a) Halter classes will be judged based on the conformation of the animals in the class as viewed from the front, rear and the side while in motion and at rest. The overall conformation & balance will be considered as well as evaluation of the smoothness of gait while in motion. The judge, at his/her discretion may assign a small portion of the overall evaluation to Fleece. This consideration should be used in the event of a close pair or a tie. Fleece characteristics to be evaluated would include luster, handle and fineness. It is the job of the Halter judge to evaluate the animal as a whole based on positive attributes. The fleece is a positive attribute and should be acknowledged however the judge should not loose sight that overall conformation, balance and movement are of critical importance.

a) The purpose of these divisions is to sort groups of animals exhibiting similar phenotype and fleece characteristics for judging, and keep the competition fair and to optimize the available points for all competitors. The judging of ALL divisions will be based 90%conformation and 10%fleece characteristics (as stated in section XI. Halter, part 1a).

It has come to our attention, with a recent situation, the need to alter the written verbiage concerning the Judging of Showmanship. With the understanding when this division was first developed within the ILR-SD, it was done so with allowance of judges to utilize, at their discretion, the ability to work these classes more 'showmanship-like', than another Halter Class.

XIII. SHOWMANSHIP
1. Showmanship Procedures and Judging
a) Showmanship participants will be judged on their preparation:
(1) Grooming of the animal
(2) Halter fit
(3) Properly trimmed toenails
(4) Halter/lead coordination,
(5) Personal attire and presentation
(6) Presentation of their animal as if the animal were being shown in halter, i.e. well-behaved animals will have an advantage.
b) The animal itself will be evaluated on
grooming and training but not on conformation.
c) Exhibitors will be expected to present the animal to optimize its best characteristics while following judge's instructions regarding patterns, quadrants, etc.
d) It is recommended that the showmanship pattern be similar to the judge's preferred halter pattern as appropriate to the show ring layout.
e) The judge will also evaluate the knowledge and demeanor of the exhibitor as they interact with the judge, ring staff and other participants while showing to the judge.

* The goal of the showmanship class is to present the animal to it's best advantage. In a "real life" situation, this might involve changing place in line, maneuvering around the show ring, backing, etc. To this end, the judge may ask exhibitors to preform such maneuvers as backing, changing place in line, etc. The judge, at his/her discretion, may request these additional techniques in evaluating the overall conduct of the class.

d) It is appropriate that the showmanship pattern be similar to the judge's preferred halter pattern and appropriate for the show ring layout. The judge may, at his/her discretion, request additional patterns to demonstrate the showman's ability to negotiate instructions.
